Everything You Need to Know About eliteBDC

Find answers to common questions about how eliteBDC works, how we communicate with customers, CRM processes, appointment setting, hours of operation, and more. If you don’t see your question below, our team is always happy to help.

What holidays are you closed?

eliteBDC has the ability to provide coverage 24 hours a day, 7 days a week, 365 days a year based on your business needs.

With your approval, our team typically observes Easter, Thanksgiving, and Christmas Day, and closes early on Christmas Eve. However, we understand that every business has different needs, and holiday coverage can be customized as part of your service plan.

Do you just call customers without looking up their records?

No. We are not an automated dialer. Before reaching out, our agents take the time to review the customer’s history so they understand the opportunity and can have a more informed, personalized conversation.

As part of that process, we can also identify and merge duplicate records, update incorrect contact information, and help keep your CRM clean and accurate.

At eliteBDC, we believe quality is just as important as quantity. The goal isn’t simply to make more calls—it’s to make every customer interaction count.

Do you inform customers that you will be meeting with them and that you work here?

We let customers know that eliteBDC works alongside your dealership’s management team to assist with their experience and help coordinate their visit.

When scheduling an appointment, we typically recommend having the customer ask for the Showroom Director, a designated manager, or their previous Sales Consultant when they arrive. This helps create a smooth handoff from our team to yours and ensures the customer knows exactly who to connect with at the dealership.

Our goal is to operate as a seamless extension of your team while making the customer’s experience as simple and consistent as possible.

If our sales team enters a duplicate record as a phone-up or walk-in, can you merge them for us?

Yes. Identifying and merging duplicate records is one of the first steps we take when actively working a customer file.

Our team reviews the customer’s information and history to help ensure we’re working from the most accurate and complete record possible. This not only keeps your CRM cleaner, but also helps prevent duplicate outreach, confusion, and an inconsistent customer experience.

It’s all part of our commitment to quality customer engagement and better CRM management.

When do you stop contacting the customer?

Our goal is to provide consistent follow-up without interfering with your team or creating a negative customer experience. We will pause or stop contacting a customer when:

  • Your dealership is actively working with the customer that day. If your team becomes too busy, we can resume follow-up as needed.
  • The customer is currently in the showroom. If they do not purchase, we can begin unsold showroom or save-a-deal follow-up.
  • The customer has hung up on our team twice.
  • The customer tells us they were declined for financing.
  • The customer specifically requests to work only with their Sales Consultant or a Manager at the dealership.
  • The customer tells us they have already purchased a vehicle. We will confirm that they have taken delivery and completed the necessary paperwork.
  • The customer has been marked sold or pending in the CRM.
  • The customer requests to be placed on your Do Not Call, Do Not Text, or Do Not Email list. We respect all communication preferences and opt-out requests.
  • Your dealership asks us to stop contacting the customer.

Because every dealership operates differently, we can also customize follow-up rules and processes to align with your store’s preferences and customer engagement strategy.

What types of businesses does eliteBDC work with?

eliteBDC primarily works with businesses in the automotive, RV, motorsports, and marine industries, where timely customer communication and consistent follow-up are essential.

That said, at our core, we’re a professional call center built to help businesses connect with their customers. If your business needs calls answered, leads followed up with, appointments scheduled, or additional support managing customer communication, our team is here to help—regardless of industry.

Can we customize which services eliteBDC handles for us?

Absolutely. Everything we do can be customized to fit your business and your specific needs. eliteBDC can serve as a full-service partner or simply provide support in the areas where your team needs the most help.

Our services can include sales lead management, phone-ups, customer follow-up, outbound campaigns, service appointment scheduling, service campaigns, employee training, CRM setup and customization, and more.

Whether you need comprehensive BDC and call center support or help with one specific part of your operation, you choose the services, processes, and level of support that work best for your business.

Can eliteBDC work inside our existing CRM?

Yes. eliteBDC works directly inside your existing CRM or scheduling platform, allowing our team to become a seamless extension of your operation.

We can follow your store’s established processes, workflows, and scripts to maintain consistency for your customers and team. If you don’t already have a process in place—or are looking to improve your current one—we can also implement our own proven scripts and processes developed through years of BDC and customer engagement experience.

Our goal is to work the way that works best for your business.

How is eliteBDC different from an automated call center or AI system?

At eliteBDC, real people have real conversations with your customers. We don’t simply dial numbers, read a generic script, or rely solely on automation to manage your customer relationships.

Our agents take the time to review customer history, understand the opportunity, update CRM records when needed, and communicate with each customer based on their individual situation. We can follow your store’s processes and scripts or use our own proven approach.

We also understand that AI can be a valuable part of your customer engagement strategy. If your business chooses to use AI, eliteBDC can work alongside it to provide the human interaction and follow-up that automation may miss. Our team can step in where needed, handle more complex conversations, and help ensure no opportunity falls through the cracks.

Technology is a powerful tool, but we believe the best customer experience combines technology with real human connection, good judgment, and personalized communication. Our goal is to be an extension of your team—whether we’re handling the entire process or working alongside the technology you already use.

What contract options does eliteBDC offer?

eliteBDC offers flexible service options based on the level and length of support your business needs.

Pay-As-You-Go
There is no ongoing agreement required. Pay-As-You-Go clients are invoiced in advance for the requested work, with a 10% surcharge applied to PAYGO services. Once payment is received, eliteBDC typically begins work within 48 business hours and completes the services outlined and approved by email.

When the project is complete, we’ll notify you by email. Any returned calls will continue to be routed to your business for seven days before the associated phone lines are disabled.

Month-to-Month Agreement
For ongoing services, eliteBDC also offers a month-to-month agreement. One month of service is paid upfront to begin. Following the first month-end close, the initial month is adjusted based on the client’s actual start date, and ongoing invoices are issued between the 1st and 5th of each month.

Month-to-month services require 30 days’ notice for cancellation.

Our team can help you determine which option makes the most sense based on the services and level of support you need.
